JOB RELATED EXPERIENCE AND KNOWLEDGE a) 3 years’ experience working as an Executive Assistant to a principal. b) Experience in Customer Service Delivery. c) Office Management experience. d) Experience in working with Microsoft Office. e) Reporting / Documentation/ Letter writing and records keeping experience. JOB ACCOUNTABILITIES AND OBJECTIVES (DUTIES AND RESPONSIBILITIES) Key Result Area: (What is the core area the job holder is accountable) Activities/Processes for each Key Result Area (KRA) KRA 1: Maintain and Coordinate CEO’s Calendar i. Maintain an up-to-date calendar for the CEO to ensure proper scheduling and management of activities, ensuring any changes to venue or time are brought to his/ her attention in good time. ii. Develop and maintain an up-to-date contact list for the iii. CEO’s business engagements. iv. Organise facilities for business meetings in support of the CEO’s – book venues, plan for and provide logistics – equipment, stationery, refreshments, and other facilitation for Board Directors’ and Staff meetings. KRA 2: Perform and provide Secretarial Duties and administrative support i. Compose, review, proofread and/or, format correspondence – e-mails, letters, memos and other official documentation to or from staff, the Board, funders/ donors, strategic partners and other stakeholders for effective communication. ii. Prepare minutes of CEO’s meetings ensuring that action lists are availed and followed up by relevant persons in a timely fashion. iii. Provide printing and photocopying materials for CEO’s meetings/ activities. KRA 3: Information and Communication management i. Receive, open, sort and screen and prioritise all incoming written correspondence for the Managers to ensure distribution and follow up on any responses as appropriate. ii. Dispatching outgoing mail as appropriate. iii. Monitor the information flow from the CEO’s office ensuring that it is submitted to the correct destination. KRA 4: Day to day running of the CEO’s office Coordinate meetings . Minute taking (when required). Ensure briefs are provided for CEO before meetings/events/ trips. KRA 5: Managing and prioritizing, screening calls, inquiries and monitoring CEO’s account emails, posts, emails and correspondences. i. Call logs maintained. ii. Diarize all meetings iii. Outgoing mail book maintained for correspondences KRA 6: Act as a liaison officer with external stakeholders like the Board members, Line Ministries, Managers, Donors, Stakeholders, among others. i. Work with PR, QA and Marketing to build a joint contact list ii. Maintain a database of all contacts for ease of reference by CEO’s office. KRA 7: Perform duties as may be assigned by the CEO Be quick witted and knowledgeable of CEO’s businesses. KRA 8: Managing the CEO’s calendar Screen, schedule, re – schedule and ability to prioritize work. KRA 9: Ensure the CEO has relevant briefs for meetings, events and trips. Work with departments and officers to ensure briefs are provided in time. KRA 10: Data management and filling i. Proper filling and coding of documents Use of registry (Not in existence at the moment) KRA 11: Managing CEO’s welfare i. Maintain office hygiene ii. Ensure travel documents and preparation are in order prior to travel KEY PERFORMANCE INDICATORS a) Up to date Contact Database for all partners b) Call log system in place c) Briefing Templates for CEO d) Up to date filing system

Uganda Tourism Board (UTB) is a statutory organization established by Uganda Tourism Board Statute of 1994 and reconstituted in the Tourism Act 2008 with the following Statutory Objectives:

• To promote and contribute to the Development of Tourism sector both within and outside of Uganda.
• To coordinate with the Ministry responsible for Tourism and the private sector in the implementation of the National Tourism policy.
• To carry out any other activities as are incidental or conducive to the attainment of the two objectives specified above.

Job Summary:  The Senior Marketing Officer – Leisure will develop, implement, track and optimize tourism potential in order to increase tourism arrivals, revenue and spend from the source markets. Other notable activities include digital strategies and executions, public relations and media familiarisations, international trade marketing, collateral production, market research, sales and advertising.

Key Duties and Responsibilities:

Promotion of Destination Uganda through Marketing

• Communications, events & Experiential Develop and implement an aggressive marketing strategy for Destination Uganda.
• Work closely with PR Office to come up with marketing communications strategy/tactics to promote destination Uganda

Brand Development & Management        

• Review and implement the POA brand manual in the key source markets around the world for increased destination awareness.

Performance Management & Reporting 

• Oversee planning, execution, performance appraisal and reporting by all officers in the marketing department.

Regional and Domestic Source Market Development          

• Coordinate identification, and supervision of source markets representatives
• Conduct market pointers to keep abreast with emerging issues in the source markets
• Collaborate with Ugandan missions abroad to promote destination Uganda
• Work closely with regional partners for joint promotion of the EAC/Africa

Conduct Market Research     

• Undertake market research and assess demand trends and other aspects of the operations of the Tourism Industry
• Subscribe to databases of tourism operators for effective and efficient targeting of tourists/partners
• Conduct activations in the domestic market
• Develop position papers to respond to the changing environment

Leveraging Technology in Tourism Promotion

• Through the extensive use of Information Technology, implement the marketing plan in one or more key geographical and niche product markets.

Communication Strategy in Marketing

• Develop communication strategies for reaching key stakeholder groups and form productive relationships with the media and other agencies for the sustainability of these communication programs

Managing Resources   

• Prepare annual plans and projected budgetary requirements and institute a system for monitoring work plan/expenditure against approved work plan/budget.
• Supervise staff and conduct timely performance management
• Log risks in the course of work for effective escalation and response

Partnerships        

• Working with partners to create and develop tourism opportunities and products in coordination with the department of Quality Assurance; and Product Development and Investments Unit.
• Create and manage a database of key partners
• Organizing and meeting with tourism stakeholders on a regular basis to build effective relationships in support of overall strategies

Key performance indicators:

• Marketing Strategy Developed and Implemented
• Annual marketing plan
• Timely performance reports (weekly, monthly, quarterly and annual).
• Market pointer reports
• M&E reports on travel and satisfaction
• Database base of travel and media trade
• Calendar of events (internal and external) published timely.
• Strategic documents developed/reviewed and implemented. Digital Strategy Developed and Implemented. Monthly risk logs.
• The applicant must hold an Honours Bachelor’s Degree in either, Marketing, B.COM (marketing), BBA (marketing) from a reputable institution.
• Master’s Degree in Marketing, in either Marketing, B.COM (marketing), BBA (marketing) from a reputable institution.
• Professional qualifications in Marketing, CIM at least Level 6 is a requirement
• A minimum of three years of relevant experience in the tourism sector and/or in the promotion, marketing and facilitation of tourism at national, regional and international levels.
• Research/ Knowledge Management Thinking clearly, deeply and broadly: A desire to understand the consumer and how they will respond to marketing activity, combined with the curiosity to test and monitor behaviour.
• Ability to work independently to achieve marketing goals. quality results and service
• Building collaborative relationships to build an environment that fosters collaboration, able to handle conflict constructively, and establish good stakeholder relationships.
